Voice Notification System in SMG

ELTEX has developed a voice notification system for SMG equipment.

Managers of large companies, government agencies and security ministries often need to deliver information to a large number of employees. Now it's possible to inform all employees about upcoming meetings or remind them to deliver a report to specific people using notification system. 

To start such notification, you need to upload the message. The system provides two options: preloading or recording an audio file when you call a specific number. After sender creates a list of recipients and triggers the task, the service will initiate a call using preset algorithm and generate a report upon completion. 

Needed equipment
SMG voice notification system is a licensed solution for SMG platform. Autodialing can only be started from a phone registered to an ELTEX station. 

Users
Access to the voice notification system settings is provided to the platform administrator after installing the appropriate license. The service includes the ability to support multiple authorized users. For example, a manager can transfer administration rights to another employee and still receive a report on the status of the notification.

Operating principle
To start the service, the process administrator creates a notification task via the user interface and configures a number of parameters:

  1. Records a voice message using a telephone or uploads an already prepared audio file;
  2. Enters the name of the notified person and the telephone number from which the autodial is made - employees will see who is making a call;
  3. Creates a list with names and numbers of message recipients;
  4. Selects how the system will determine message delivery.

After task completion, the service will generate a report specifying the name of the caller and call status: "notified" / "not notified", and the reason for missed call (not answered, dropped, etc.). The report can be uploaded and saved to a local folder in Excel spreadsheet format.

Voice message
The service allows two ways of preparing a broadcast file:

  1. The message can be recorded using a telephone. To do this, the process administrator needs to call a specific number from a registered handset and dictate the text after the beep. Once recorded, the message will be available to be added to the notification task. 
  2. A pre-recorded message can be uploaded via the web interface of the system. The format requirements for such an audio file are WAN, 8 Bit, 8 kHz, Mono, PCMA. 

In order for the system to understand how to determine message delivery, the administrator sets the appropriate settings: the recipient must press a certain combination of digits (feature code) or listen to the file for at least a preset amount of time. For example, if the subscriber accepts the call and listens for less than 20 seconds, the service will consider the message as undelivered and will try again.

Notification Algorithm
To start Auto Notification, you need to dial feature code or press "start" button in web-interface. Then the station confirms the command with a voice message and starts the algorithm. 

Within one task the system notifies from 4 to 200 employees. The queue is determined by the list created by the administrator. Up to 40 subscribers can be called simultaneously.

If the first attempt to deliver a message is unsuccessful because the caller did not answer, the call is repeated twice more with an interval of every 60 seconds and if unsuccessful, after 300 seconds, three more attempts are made. In this way the system will try to call 5 times within 5 minutes, after which the corresponding result will be recorded in the report. If the caller is busy or unavailable, the algorithm with different time intervals will be applied. 

On average, one task takes no more than 1.5 hours to complete. Thus, the Voice Notification System makes it possible to notify employees about an event in the shortest possible time and generate a report about it.
